In the edit

When you’re juggling multiple projects, the last thing you need is software that gets in the way. OmniPlan Pro exists to keep the schedule, the resources, and the critical path all in one place, so you can see what’s actually happening. Version 4.11 doesn’t reinvent the workflow — it refines the parts that matter when a project gets big.

  • Editing a task with many assigned resources is noticeably faster — a practical improvement when your Gantt chart starts to fill up.
  • Compatibility with newer versions of macOS has been improved, which means fewer surprises after a system update.
  • The Pro version still includes Monte Carlo simulation, automatic effort estimation, and AppleScript support for those who want to automate the repetitive bits.
  • Calendars support days of absence, and you can accept or reject individual changes — or all of them at once — when reviewing updates.
  • The interface is available in eleven languages, including English, German, French, Spanish, and Japanese.

OmniPlan 4.11 runs on macOS 12 or later, works on both Intel and Apple Silicon, and stays focused on the kind of planning that keeps a project from derailing. The core tools haven’t shifted — they’ve just been polished a little more.

Merlin Project leans into Gantt charts, but OmniPlan Pro takes a different path

There are a few project management tools that run natively on a Mac, and each one takes a slightly different approach. If you have used Merlin Project, you know it leans into Gantt charts and resource levelling in a way that feels familiar to anyone coming from Microsoft Project. OmniPlan Pro shares that DNA but adds the Monte Carlo simulation and earned value analysis out of the box, which are Pro-only features you do not get in the standard version of either app.

Another option is Smartsheet, but that is web-first and does not offer the same offline editing experience or the deep integration with other Omni apps. If you already use OmniOutliner or OmniGraffle, the ability to export project data straight into those tools is something a web app simply cannot match. OmniPlan Pro also handles Microsoft Project import and export, which is a practical advantage if your clients or stakeholders send you MPP files and expect you to send one back.

For someone running a small team or a single complex project, the difference often comes down to how much structure you need. OmniPlan Pro gives you the multi-project dashboard and change tracking without asking you to set up a server or manage permissions. It is a desktop app that does not require an internet connection to work, and that matters when you are on a train or working from somewhere with patchy reception.

Runs on macOS 12 or later with a responsive, clean project window

OmniPlan 4.11 asks for macOS 12 or later, and it runs on both Intel and Apple Silicon machines. Once installed, the app opens to a clean project window where you can start building a schedule immediately. The interface is responsive, and the recent performance improvement for editing tasks with many assigned resources means you will not be waiting around when you adjust a task that has a dozen people attached to it.

The app supports eleven languages, so if your team works in Russian, Korean, or Simplified Chinese, the interface can match. It exports to PDF, CSV, ICS, and several Omni formats, which covers most of the common ways to share a plan with people who do not use OmniPlan themselves. The Pro version also generates HTML reports, which are handy for sending a snapshot of progress to stakeholders without giving them access to the project file.

Set team availability and absences first so OmniPlan auto-calculates deadlines

Start by setting up your team’s availability and any known days of absence in the calendar before you begin assigning tasks. If you enter those dates upfront, the app will automatically account for them when it calculates durations and deadlines. It saves you from manually adjusting every task later.

When you import a Microsoft Project file for the first time, check the imported data against your original. The structure usually comes through cleanly, but it is worth verifying that dependencies and resource assignments have carried over the way you expect. The same applies when you export to OmniOutliner or OmniGraffle — open the result once to make sure the hierarchy looks right.

If you work with a team that sends updates, try the accept or reject changes feature one change at a time until you are comfortable with how the review flow works. Once you trust it, the option to accept all changes at once will save you a lot of clicking.

Change the default work week in preferences before building your first project

Open the preferences and set your default calendar to match the working days your team actually uses. The default assumes a Monday-to-Friday week, but if your team works a different pattern, adjust it before you build your first project. It is one of those small things that saves you from fighting the schedule later.

If you plan to use the multi-project dashboard, take a moment to configure the projects you want to include early on. Adding them later is possible, but starting with the dashboard set up gives you a better overview from the beginning. The earned value analysis and the automatic effort estimation are both Pro features that become more useful once you have a few weeks of actual data to compare against your plan.

For anyone who automates repetitive tasks, AppleScript support is available in the Pro version. It is worth testing a simple script early to confirm it behaves the way you expect on your version of macOS, especially after a system update.
